How AIFromSpace collects, uses and protects personal data

This Privacy Policy explains how AIFromSpace handles personal data when you use our website, platform, dashboard and embeddable assistants (together, the Service). We are committed to protecting your privacy and to processing personal data in line with applicable data-protection laws, including the EU and UK General Data Protection Regulation (GDPR) and, where applicable, the California Consumer Privacy Act (CCPA/CPRA).

1. Who We Are & Scope

The Service is operated by Individual Entrepreneur Denis Kozhemyakin (Индивидуальный предприниматель Кожемякин Денис Михайлович), OGRNIP 321784700243934, INN 781140427404, trading as “AIFromSpace” (“we”, “us”, “our”). For the personal data we decide the purposes and means of processing, we are the data controller.

This Policy applies to aifromspace.com, the dashboard at app.aifromspace.com and our embeddable assistants. It does not apply to third-party websites or services that we do not control.

When you use the Service to deploy an Assistant and process data about your own end users, you are the controller of that end-user data and we act as your processor. See Section 12.

2. Information We Collect

We collect the following categories of personal data:

  • Account data — name, email address, password (stored hashed), and profile or organization details you provide.
  • Billing data — plan, transaction history and limited payment details. Card payments are handled by our payment processors; we do not store full card numbers.
  • Content you provide — prompts, instructions, knowledge-base documents, files, assistant configurations and other material you upload or create.
  • Conversation data — messages exchanged with Assistants, including content submitted by your end users.
  • Usage & device data — log data, IP address, browser and device type, pages viewed, actions taken, timestamps and approximate location derived from IP.
  • Cookies & similar technologies — identifiers used to keep you signed in, remember preferences and measure usage (see Section 5).
  • Communications — messages you send us by email, Telegram or support channels.

We collect this data directly from you, automatically as you use the Service, and from third parties such as payment processors and authentication or integration providers you choose to connect.

3. How We Use Information

We use personal data to:

  • provide, operate, maintain and secure the Service and your Account;
  • create, train and run your Assistants and generate AI responses;
  • process payments, manage subscriptions and prevent fraud;
  • provide support, respond to requests and send service-related communications;
  • monitor, analyze and improve the Service, including troubleshooting and developing new features;
  • enforce our terms, comply with legal obligations and protect our rights, users and the public;
  • with your consent where required, send marketing about features and offers (you can opt out at any time).

We do not sell your personal data, and we do not use the content of paid Assistant conversations to train foundation models for unrelated third parties. Where we use data to improve the Service, we use aggregated or de-identified data wherever practicable.

4. Legal Bases (GDPR)

Where the GDPR applies, we rely on the following legal bases:

  • Performance of a contract — to provide the Service you signed up for and manage your Account and billing.
  • Legitimate interests — to secure, analyze and improve the Service and prevent abuse, balanced against your rights.
  • Consent — for non-essential cookies and certain marketing; you may withdraw consent at any time.
  • Legal obligation — to comply with tax, accounting and other laws.

5. Cookies & Analytics

We use cookies and similar technologies that are strictly necessary to run the Service (for example, to keep you signed in and remember your preferences), and, where you consent, analytics cookies to understand how the Service is used and to improve it.

You can manage non-essential cookies through our cookie banner and through your browser settings. Disabling some cookies may affect how the Service works. Analytics may be provided by third-party tools that process limited usage data on our behalf.

6. AI Processing & Sub-Processors

To deliver AI features, we share the content needed to generate responses (such as prompts, knowledge-base context and conversation messages) with third-party AI providers that operate large language models and related infrastructure on our behalf.

We engage these AI providers and other vendors as sub-processors under agreements that require them to protect the data and use it only to provide their services to us. Reputable AI providers state that they do not use business/API content to train their models by default.

Other sub-processors include hosting and cloud infrastructure providers, payment processors, analytics tools, email and messaging providers, and customer-support tools. We can provide further information about the categories of sub-processors on request.

7. How We Share Information

We share personal data only as needed and as described here:

  • Service providers / sub-processors — to operate the Service on our behalf, under appropriate contracts (Section 6).
  • Integrations you enable — when you connect a third-party channel or service, we exchange data with it as you direct.
  • Legal & safety — to comply with law, enforce our terms, or protect the rights, safety and property of AIFromSpace, our users or others.
  • Business transfers — in connection with a merger, acquisition, financing or sale of assets, subject to this Policy.

We do not sell personal data or share it for cross-context behavioural advertising as those terms are defined under applicable U.S. state privacy laws.

8. International Transfers

We and our sub-processors may process personal data in countries other than yours, which may have different data-protection laws. Where we transfer personal data internationally from the EEA, UK or other regulated regions, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses (and the UK Addendum) or other lawful transfer mechanisms.

9. Data Retention

We keep personal data only as long as needed for the purposes described in this Policy: for the life of your Account and as required to provide the Service, and thereafter as needed to comply with legal, tax and accounting obligations, resolve disputes and enforce our agreements.

When data is no longer needed, we delete it or irreversibly anonymize it. You can request deletion of your Account and associated data as described in Section 11; some data may be retained where the law requires.

10. Data Security

We implement appropriate technical and organizational measures to protect personal data, including encryption in transit, access controls, and hosting with reputable infrastructure providers.

No method of transmission or storage is completely secure, so we cannot guarantee absolute security. You are responsible for keeping your credentials confidential. If we become aware of a personal-data breach that legally requires notification, we will notify affected users and authorities as required by applicable law.

11. Your Rights

Depending on where you live, you may have some or all of the following rights regarding your personal data:

  • access a copy of your data and information about how we process it;
  • correct inaccurate or incomplete data;
  • delete your data (“right to be forgotten”), subject to legal exceptions;
  • restrict or object to certain processing, including direct marketing;
  • data portability — receive your data in a portable format;
  • withdraw consent at any time, without affecting prior processing;
  • not be discriminated against for exercising your privacy rights (for U.S. residents).

12. End-User Data & Roles

When a customer uses the Service to operate Assistants that interact with their own end users, the customer is the controller of the personal data processed through those Assistants, and AIFromSpace acts as a processor on the customer’s behalf.

In that role, we process end-user data only to provide the Service in accordance with the customer’s instructions and our agreement. Customers are responsible for having a lawful basis to collect end-user data, for informing their end users, and for responding to end-user rights requests. If you are an end user wishing to exercise rights, please contact the business operating the Assistant; we will assist that business as required.

13. Children’s Privacy

The Service is not directed to children under 16, and we do not knowingly collect personal data from them. If you believe a child has provided us with personal data, contact us and we will take appropriate steps to delete it.

14. Third-Party Links

The Service may link to third-party websites and services that we do not operate. This Policy does not apply to them, and we are not responsible for their privacy practices. We encourage you to read their privacy policies.

15. Changes to This Policy

We may update this Policy from time to time. When we make material changes, we will update the “Last updated” date and, where appropriate, notify you. The current version is always available at aifromspace.com/privacy. Your continued use of the Service after changes take effect means you accept the updated Policy.
